The Reservations module is your central hub for viewing and managing all bookings across properties in your PMS account. From calendar views to booking details and payment statuses, this module enables real-time updates and easy management for front desk, operations, and finance teams.
📅 Calendar & List View
You can view reservations either in List View (all bookings in table format) or Calendar View, which helps visualize stays, gaps, and overlap across units.
- Filter by Property, Guest Name, Dates, Status, Channel, Area, or Source
- Switch between daily, weekly, and monthly calendar views
- Easily locate gaps or opportunities for optimization

🔍 Booking Details
Clicking on any reservation opens the Booking Details window:
- Guest Info: Name, contact details, nationality
- Property: Name, location, room type
- Stay Info: Dates, number of guests, base rate, additional charges
- Channel Source: e.g., Airbnb, Booking.com, Direct
- Booking Notes & Tags

💳 Payment Status & Methods
Bookings include a Payment Status to track financial reconciliation:
- Paid: Booking has been fully paid, either by OTA or manually marked paid for direct bookings. If OTA, the method will appear automatically.
- Partially Paid: Indicates a balance due on arrival. Common for direct bookings or OTA bookings set as “Pay on Arrival.”
- Refunded: Booking has been canceled and payment returned. This must be updated manually by the user.
You can also manually add or update payment methods for direct bookings.

📌 Booking & Arrival Statuses
Each reservation includes two types of statuses:
- Booking Status:
- Provisional: Tentative reservation not yet confirmed
- Confirmed: Active and validated reservation
- Cancelled: Booking has been canceled
- Arrival Status:
- Upcoming: Guest has not yet arrived
- Online CI: Online check-in has been completed
- Checked In: Guest has arrived and is currently checked in
- Checked Out: Guest has departed
- No Show: Guest did not arrive
- Stay Extended: Booking extended manually beyond original stay (used when a guest extends their stay directly, not via OTA)
✏️ Editing & Managing Bookings
Inside any booking, you can:
- Modify guest details
- Change dates or property (based on availability)
- Add tags or notes
- Apply charges or discounts manually
- Cancel or mark as no-show with reason logs
📊 Reports & Export
- Export filtered bookings into Excel or PDF
- Filter by property, payment status, channels, and more
📍 Helpful for generating payout summaries or occupancy reports.
⚠️ Common Mistakes to Avoid
- Forgetting to manually mark direct bookings as paid
- Leaving partially paid bookings uncollected after check-in
- Not updating refunded bookings after a cancellation
