Creating Alerts with Security Deposit Tokens in mr.alfred PMS

📍 Where to Create Alerts

Alerts are managed under Admin → Alerts in the PMS.
Here, you can configure automated notifications for:

  • Guests

  • Owners

  • Internal staff

  • Building/community contacts

Each alert can be sent via Email or SMS, and supports dynamic tokens that auto-fill booking information.


🆕 Security Deposit Tokens

The new tokens let you automate messages related to deposits. Available tokens include:

  • [[BookingReference]] → Shows booking reference number

  • [[BookingSecurityDepositStatus]] → Displays current deposit status (On Hold, Captured, Refunded, Expired)

  • [[BookingSecurityDepositHoldExpiry]] → Shows the hold expiry date

  • [[BookingSecurityDepositPaidAmount]] → Amount of deposit paid

  • [[BookingSecurityDepositChargedAmount]] → Amount charged from deposit

  • [[BookingSecurityDepositCapturedAmount]] → Amount captured

  • [[BookingSecurityDepositCapturedComments]] → Notes entered during capture

  • [[BookingSecurityDepositRefundAmount]] → Amount refunded

  • [[BookingSecurityDepositRefundComments]] → Notes entered during refund

 


⏱️ Security Deposit Triggers

When setting up an alert, you can choose from the following deposit-specific triggers:

  • Booking Security Deposit Paid → When the guest has successfully paid the deposit

  • Booking Security Deposit Charged → When the deposit is charged as part of payment

  • Booking Security Deposit Captured → When the deposit (or part of it) is captured

  • Booking Security Deposit Refunded → When the deposit is refunded

  • Booking Security Deposit Release → When the deposit hold is released without capture

These triggers let you create tailored notifications for every step of the deposit lifecycle.


🛠️ Steps to Create an Alert

  1. Navigate to Admin → Alerts.

  2. Click + Create Alert.

  3. Select a Trigger
  4. Choose your Medium (Email or Unified inbox).

  5. Add a Subject (for Email).

  6. In the Body editor, type your message and insert tokens via Insert Token dropdown.

    Example email body:

    Dear Guest,
    Your security deposit for booking [[BookingReference]] is currently [[BookingSecurityDepositStatus]].
    The deposit hold will expire on [[BookingSecurityDepositHoldExpiry]].
    Amount paid: [[BookingSecurityDepositPaidAmount]].
  7. (Optional) Add attachments (PDF docs, property rules, etc.).

  8. Click Save.

 


📌 Best Practices

  • Use clear subject lines like “Your Security Deposit Status”.

  • Combine tokens with static text for readability.

  • Create separate alerts for different triggers (e.g., deposit captured, deposit refunded).

  • If your building/community requires guest reporting, use alerts to notify tower security contacts automatically.
